Instructions for Transferring or Copying OneDrive
If you leave CUSD, your Office 365 account will be deactivated and you will no longer have access to your OneDrive, Office 365 apps, or Outlook Email after school ends. If you want to keep any content from Office 365, follow the recommendations below.
Organize OneDrive Files
We recommend "cleaning" your OneDrive and deleting any files you don't need any more. Also, organize the rest of your files into folders, if needed. This way you are only saving the files you need.

OneDrive Shared Items
If a colleague or staff member is leaving CUSD and has shared documents, files, or folders with another staff member in OneDrive, those will no longer be accessible when the staff member leaves and their account is deactivated.
Check documents that have been shared with you and copy or download any you would like to keep. It will no longer be a shared, collaborative document. Instead, you will have your own copy to keep. Follow the steps below to make a copy or download shared files.
In Office 365, visit your OneDrive in the app launcher.
Choose Shared on the left menu bar to view shared documents.
Choose Shared with you.
Filter to show only the type of document you're looking for at the top.
Select the document you want to save and find the three dots to the right of the document name.
Choose Download and save the document in a safe location. You can download files and folders and you can download multiple at a time, just be aware of the storage space in the location you are downloading to.
Find a document you want to keep. You can either download a copy of it to your computer or copy it to your OneDrive.
To download, select the file and click Download at the top. You can select multiple files or folders to download. Or, open the folder to view the files inside and then download them.
To copy a file in OneDrive, click on it to open the document.
Choose File in upper left of the menu bar.
Choose Save As.
Choose where you want to save the file and in what format. You can download a copy or convert to a PDF file. To save a copy in your OneDrive, choose Save As: Save a copy online.
Find a folder or just save in OneDrive. Choose Save.
Downloading Files
One of the easiest options to save your content is to download folders or files from OneDrive to your computer or external storage like a flash drive.
Visit the Office 365 portal and log in.
Choose OneDrive.
Find the folders or files you want to download and select them. You can select multiple files and multiple folders.
Choose Download at the top.
It will be downloaded as a .zip file that contains all the folders and the files within those folders. Then, extract them to save on your computer in the place you want them.

OneDrive Sync
Another easy way to transfer your OneDrive content is to use OneDrive Sync.
If you don't already have OneDrive Sync set up on your computer, visit this page for more information. Mac users visit this page.
Find your OneDrive on your device and select it to view your folders and files.
Drag the files from your OneDrive to another folder in a different drive or storage location on your computer to copy them. Be sure you see the word "copy" (not "move") to make copies of the folders or files.
You can copy multiple folders or multiple files by selecting them.
Another Option - Microsoft Teams
This is a useful strategy when someone is leaving the district, especially if their replacement has yet to be hired.
Create a new Teams page and add your departing colleague(s).
They can then upload the folders they want to share with the team for future reference.
Once an individual has been hired the folders and files held in the Teams page can then be shared with the new employee.
Don't have any files to save? No action is needed. Your content will be deleted when your account is deactivated.
