Recommendations for Office 365 for the summer.

If you remain with CUSD, your Office 365 account will remain active and accessible through the summer. But, here are a few recommendations to manage your account and apps for the summer and next year.

Passwords

It's a good idea to change your Active Directory password before you leave for the summer so the system doesn't require a change when you might be away from your work email. Follow these steps to change your password:

Organize OneDrive Files

We recommend organizing your OneDrive so you can find files easily in the fall. Delete any files you don't need any more and organize the rest into folders, if needed.

OneDrive Shared Items

If a colleague or staff member is leaving CUSD and has shared documents, files, or folders with you in OneDrive, those will no longer be accessible when the staff member leaves and their account is deactivated. 

Check documents that have been shared with you and make a copy or download of any you would like to keep. It will no longer be a shared, collaborative document. Instead, you will have your own copy to keep. Follow these instructions to make a copy of shared documents:

Filter to show only the type of document you're looking for at the top.

Select the document you want to save and find the three dots to the right of the document name.

Choose Download and save the document in a safe location. You can download files and folders and you can download multiple at a time, just be aware of the storage space in the location you are downloading to.

If you want to view the document first, then save it, follow these instructions:

OneDrive Sync

Another way to manage your files in OneDrive is to set up OneDrive Sync on your CUSD Teacher laptop or home personal computers. OneDrive Sync creates a "mirror" drive on your computer of your OneDrive while still keeping them stored in the cloud.

Keep Shared Files in a Team

For shared files that are part of an ongoing group of colleagues or team, you might consider using a Microsoft Teams Team and store files for that group in the Files tab in that Team. Any files added here are automatically shared with the members of the team. Team members can then be managed by the Team Owner and can be added or removed from the team.

Microsoft Teams for Class?

If you used Microsoft Teams for a student classroom, take some time to secure the classroom team or archive it for the summer.

Teams: Delete Students

If you want to keep the content in the team, but students don't need access anymore, remove the student:

Teams: Archive Team

If you want to keep the content in the team, but are not going to be using the same team next year, you can archive it.

Teams: Delete Team

If you don't need the team any more and don't need to access any of the content, you can delete the team. Follow the directions to archive a team, but choose Delete the team. Warning: This will permanently delete all channels, chats, files, and the Microsoft 365 Group for this team. More information about deleting Teams can be found here.
